ESC Schools – Booking Terms & Conditions
Effective from 01/09/2025
These Terms & Conditions apply to all bookings made for after-school clubs, holiday camps, and other coaching services provided by ESC Schools.
1. Definitions
- “ESC Schools”, “We”, “Us”, “Our” refers to the coaching and activities provider.
- “Parent”, “Guardian”, “You”, “Your” refers to the person making a booking on behalf of a child.
- “Participant”, “Child” refers to the individual attending a session or camp.
- “Booking” refers to a confirmed place made through our online booking system [Class4Kids].
2. Bookings & Payment
2.1 All bookings must be made via our official platform (Class4Kids).
2.2 Bookings are only confirmed once payment has been received and a confirmation email issued.
2.3 All payments include VAT unless otherwise stated.
2.4 We reserve the right to cancel or decline bookings where incorrect information is provided or payment is incomplete.
2.5 ESC Schools reserves the right to amend prices, sessions or policies with prior notice
3. Cancellations, Refunds & Changes
After-School Clubs
3.1 All after-school club bookings are non-refundable, as staff and venue costs are committed in advance.
3.2 If you are unsure about committing for a half term, we recommend using our one-off trial session option before booking the full term.
3.3 No refunds or credits will be issued for non-attendance due to illness, holidays, or personal circumstances.
Holiday Camps (Active Camps)
3.4 Cancellations made less than 48 hours before the camp start date are non-refundable.
3.5 If cancelled 48+ hours in advance, we may offer a partial refund or transfer credit (valid for 12 months), at our discretion.
3.6 If ESC Schools cancels a session due to low attendance, weather, or unforeseen circumstances, a full refund or credit will be offered.
4. Child Information & Medical Forms
4.1 It is your responsibility to provide complete, accurate and up-to-date information at the time of booking, including:
- Medical conditions or allergies
- Emergency contact information
- Special educational needs or behavioural details
- Any prescribed medication the child may require (e.g. inhalers, EpiPens)
4.2 Medical and consent forms must be completed before your child’s first session.
4.3 ESC Schools reserves the right to refuse attendance if essential information is missing.
4.4 Parents must notify us of any changes to medical or contact information as soon as possible.
4.5 ESC Schools is not responsible for incidents resulting from withheld or inaccurate information.
5. Arrival, Collection & Attendance
5.1 Children must be signed in and collected promptly. Late pickups may result in a late collection fee
5.2 You must inform us in advance if someone else will be collecting your child. Identification may be required.
5.3 Please ensure children bring appropriate clothing, footwear, and any required items (e.g. snacks, drinks, sun protection).
5.4 If a child is unwell or has had vomiting/diarrhoea within the past 48 hours, they should not attend.
6. Behaviour & Conduct
6.1 ESC Schools promotes positive behaviour and a safe, inclusive environment.
6.2 We reserve the right to remove a child from a session if their behaviour poses a safety risk or disrupts the group.
6.3 No refunds will be given if a child is removed due to behavioural issues.
7. Photography & Media Consent
7.1 ESC Schools may take photos and videos during sessions for promotional use (e.g. website, social media, marketing).
7.2 Consent for photo/video usage is requested at the time of booking.
7.3 If you opt out, we will ensure your child is excluded from promotional material.
8. Data Protection
8.1 ESC Schools collects and processes personal data in accordance with the UK GDPR and other applicable data protection laws.
8.2 We will only use your data for relevant booking, safety, and communication purposes.
8.3 Your data is stored securely and not shared with third parties unless legally required or in the case of medical/emergency situations.
8.4 You have the right to access or request deletion of your data by contacting us.
9. Health & Safety
9.1 Participation in sports and physical activity carries a level of assumed risk.
9.2 All ESC Schools staff are trained in basic first aid and safeguarding.
9.3 You give consent for ESC Schools staff to administer basic first aid and seek medical treatment in an emergency unless you explicitly opt out.
9.4 ESC Schools holds valid Public Liability Insurance for all activities.
10. Changes to Services
10.1 We reserve the right to make minor changes to timings, venues, or coaching staff as needed.
10.2 Any significant changes will be communicated in advance where possible.
10.3 If a session must be cancelled or rescheduled, we will offer a refund or transfer credit.
11. Complaints
11.1 If you have any concerns during a session, please speak to the lead coach on-site.
11.2 For unresolved issues, contact our management team via email within 7 days.
11.3 We aim to respond to all complaints within 14 working days.
12. Acceptance of Terms
12.1 By making a booking with ESC Schools, you confirm that:
- You have read, understood and agreed to these Terms & Conditions.
- You have provided accurate and complete information during booking.
- You accept all cancellation and refund terms.
- You give any relevant medical or photo consent as indicated during booking.
